Will I have to get new computer software?
Yes, but it will all be built into your package. You will only pay a monthly user fee.

Will my staff be provided with support and training?
Yes, we will provide training for your staff to for the new software as well as what documents they will need to scan to us. Subsequently, we also offer online, desktop support on an as-needed basis. You will have your own email account for your site to directly link to your account representative to assist you with any needs or questions.

Where do my checks go?
Straight to you, of course! We said it’s money in the bank. and we mean it. All we need you to do is scan us the EOBs so we can post your payments. Our company also saves you time and money by receiving Electronic Remittance Advices that allow us to even electronically post payments. With one click, we can post the biggest remittance that you have ever received in a matter of seconds.

What is the payment turn around time?
This is reason #999 why you should choose AdBillCo., but actually, it is the one that we take the most pride in. Our goal is to keep your aging at what we like to call “90/10,” which translates into 90% of your claims will not go past 60 days without being paid. The other 10% are those Personal Injury settlements and those new workers’ comp. claims that take a little while to get allowed. We can guarantee you that we will have worked every claim over 31 days past due, and we will be able to provide you with a reason that they have fallen past 31 days. You will be able to see our actual account representative’s communications log and why your claim is pending.

Will my claims be billed daily?
Yes. We electronically submit CLEAN claims daily. Even the claims that cannot be accepted electronically by some insurance companies will get dropped to paper and billed at no additional cost to you. We monitor all electronic submission reports for denials and issues and take the necessary actions.

Does your software include a scheduler?
Yes. Our software has a unique scheduler to manage your patients and your time to reduce confusion in the office and allow your staff to be efficient and to work smarter, not harder. The scheduler will allow you to provide patients with good, quality care in a relaxed atmosphere.

Do I have to sign a contract?
You will need to sign a contract to acknowledge that you understand the terms and conditions; there are no long-term commitment requirements. You can cancel our service at any time. We will also return all your data to you in a tabular, electronic format to facilitate your migration to another software program or service, upon payment of any outstanding balances.

What kind of reports will I get?
You will be provided with monthly Billing & Collections reports and easy-to-read pie charts and graphs to compare your month-to-month growth. We also have a one-of-a-kind communication tracking system to pass work with your staff in getting what it takes to get the claims paid. We will also let you know if your patients have reached annual maxes and limits on their policies. This is valuable information that you will not get from most billing companies.

Do you assist in credentialing?
Yes. We know that this is probably one of the most dreaded jobs that a billing department is responsible for, but we are going to take away that burden. Our staff has made many contacts with provider relations representatives at some of the major insurance companies and has most of the paperwork already on file ready to be completed. They have a quick and efficient reporting system that will allow you to see when your contracts were sent out and will provide you with monthly follow-ups in checking on the status of your credentialing.

Will I have access to my own reports?
Of course . . . we want you to know as much about what you are billing out as well as how much you are collecting and what you have in your accounts receivables. We will show you how to access those reports from the software and make it easy for you to export them to a program such as Excel to make them workable for your viewing.

Will you bill my patient statements?
Yes. We understand the time involved that it takes to review your patient accounts and fold and stuff hundreds of patient statements each month. We will provide you with a list of your patient balances to review and return to us with any adjustments that you would like to make before billing your patients. Doctors and staff understand and see financial hardship in the office that sometimes a billing company does not so we want to make sure that we honor your payment arrangements that you have given in the office.

Will my patients be able to call you with billing questions?
Yes. We want to take the bother away by spending quality time on the phone with a patient that could cut into the time you spend face-to-face with your patients in the office. We know what it is like to get bombarded with patient phone calls at “patient statement” time, and we want to save you the hassle. Your patients and you will have our 1-800 number so that neither of you have the hassle of the costs of long-distance calls.

What hours are account representatives available?
We are here when the insurance companies are! Our account representatives are on the phones at 8:00 a.m. until 5:00 p.m. in the evening.

Do I need to buy any special hardware?
Not necessarily. If only one user in your office is going to use the software, you do not need to purchase any additional machines. If you need more than one user to access the software, your existing machines can be used as workstations for additional users. The software itself can be installed on as many machines as you choose. There are no restrictions on the number of users who can use the software in your office.

What documents do I need to send you?
For posting payments, you send us your EOBs. We also need your daily Transaction Sheet to show all patients who came in the office and any payments they made. Your staff will provide these forms to us, but no worries; we will provide you the forms they will need to use. Your daily stats will be combined in a monthly Billing & Collections report so that you may see how much you are billing and collecting broken down by patient type.

Are there any minimum fees?
Yes, there is a user fee for our software and a user fee for our electronic billing company. However, you have unlimited claims, and there is no minimum number of claims you have to bill each month. We have found that it is much more cost-effective to lease our software than spend thousands (and we do mean thousands) of dollars purchasing software that you have no experience using.

I am not in your geographic location; can I still use your service?
Yes, of course. You can scan and upload all of your documents to us. You then access your data by your remote desktop. Therefore, your physical location is irrelevant. You will have real-time billing inquiry and access to all of your patient information. Our systems are totally HIPAA compliant, and there is no worry about information getting unscrambled in the transfer.

How long does it take to get started?
This depends on whether or not you want us to take care of converting your existing data or if you want us to start fresh. It takes about 3-4 weeks for the setup to be complete; however, we can have you online and using the software the same day that you sign up.

Do I have control of my data?
Yes. You have TOTAL control of your data, and it is physically located in your office during your workday. Our system is set up just as if we were actually setting at a desk working off the same program you are. You will be able to see everything that we are doing in real time. What happens if my staff goes on vacation or quits?
You will have nothing to worry about. As long as you can scan and send us your documents, your work will get done.

What if I don’t have a scanner?
That’s easy . . . we are going to provide you with one. You will only pay a deposit that is refundable should you cancel our service for any reason during the first year from the inception of your contract, and return the scanner in a useable condition.
